This software add-on product to GoldMine Sales & Marketing assists a database administrator with the challenging task of managing data cleanliness.

In SmartData, W-Systems offers a powerful toolset to identify, report on, and remove duplicate contact and company records in the database.  It also assists identifying, reporting, and updating database information standards.

A sales and marketing database receives input from many sources and often in unregulated formats. It is inevitable that duplicate records appear in the database. While organizations must accept this, they need to implement processes to routinely identify and eliminate these duplicates.

The SmartData Data Quality controller allows a user to test the whole database, or a portion of it for duplicates. The user can scan the data for duplicates, using flexible criteria on any database field. For instance, the user may select duplicate criteria of the field First Name to be Soundex (sounds similar) and the City field to be an exact match. The application will group the database into sets of records where this criteria is met. The sets can be browsed on the screen or printed as a report for offline review. Sets can easily and quickly be merged without any data loss and with proper audit trails.

Like duplication, data terminology is a common data quality problem. In many cases, data entry definitions are inadequately enforced. This will result in different users employing different terminology for the same intended meaning. In addition, sales processes change over time, creating a need to update the terminology used in the database.

SmartData allows easy review of any field in any table of the database. It will report on all unique terms used, along with their respective usage counts. These results may be browsed on screen or printed as a data quality report for review.

The data standardization toolset enables easy updating of any value into another value. For example, it is a simple task to integrate the Contact Country field with values of England, UK, or Great Britain to the value of United Kingdom.
